Lavish Bloom Rentals
Booking Policies & Terms
We want every Lavish wedding to feel beautiful, seamless, and stress-free — and clear expectations are a big part of making that happen. The policies below provide an overview of our booking, design, delivery, room-flip, pickup, and cancellation terms so you know what to expect before reaching out.
These policies are a summary only. All booked events require a signed Lavish Bloom Rentals Wedding & Event Floral Design Agreement, and the signed Agreement, Proposal, Invoice, and applicable Addenda will govern your specific event.
Booking & Payments
A 25% non-refundable reservation retainer and signed agreement are required to reserve your wedding date.
The payment schedule is:
- 25% reservation retainer due at booking
- Payment bringing the total paid to 75% due 90 days before the wedding
- Final balance due 30 days before the wedding
Your final invoice is prepared approximately 30 days prior to the event once final logistics, quantities, mileage, room-flip needs, late-night pickup requirements, and other approved details are known.
Credit-card payments are subject to a 4.5% processing fee.
Our Floral Designs
Lavish Bloom Rentals specializes primarily in premium faux and real-touch floral designs. Inspiration photos, Pinterest images, mockups, and photographs are used as design direction rather than exact replicas.
Every wedding is custom styled, and Lavish retains reasonable artistic discretion to make substitutions when necessary due to inventory, mechanics, venue requirements, product availability, or design considerations while maintaining the overall agreed color palette and aesthetic.
Special-order flowers, custom materials, keepsake florals, and event-specific purchases become non-refundable once ordered or placed into production.
What's Included
Only products and services specifically listed in your Lavish Proposal, Invoice, or Agreement are included.
Additional florals, cake flowers, decor, rentals, room flips, styling, installations, or other services requested later may require an additional charge and must be approved in writing.
Final Counts, Floorplans & Timeline
Because many Lavish weddings are booked a year or more in advance, your final wedding timeline does not need to exist when you book. Preliminary times may be estimated or listed as TBD.
A final floorplan should be provided approximately 60 days before the wedding, or as soon as your venue makes it available.
Approximately 30 days before the wedding, when your final invoice is prepared, Lavish will confirm your Event Logistics Addendum using the most current vendor timeline. This will include details such as ceremony time, room-flip timing, reception end, strike/pickup time, venue access, loading requirements, and applicable late-night logistics fees.
Changes made afterward that materially affect Lavish's setup, room flip, staffing, pickup, or strike must be approved by Lavish.
Delivery & Travel
Delivery, setup, styling, and pickup are included within 30 miles of our Georgetown, Texas studio when included in your selected package.
Events beyond 30 miles are charged $3 per mile beyond the included radius. Extended travel, overnight accommodations, specialty transportation, or additional crews may result in additional charges.
Clients are responsible for ensuring Lavish has timely venue access and for providing loading instructions, parking requirements, venue forms, insurance requirements, elevator reservations, and other access information.
Room Flips
A Lavish Room Flip is much more than moving a few flowers. It may involve dismantling and relocating arches, weighted bases, aisle florals, urns, structures, candles, and other large installations before restyling them for the reception.
Unless otherwise approved, Lavish requires a minimum 30-minute uninterrupted operational window for a contracted Room Flip.
That window begins after ceremony florals have been released from photography and Lavish has safe, unobstructed access to the items and travel path.
Guest access must be controlled sufficiently to allow our team to safely move oversized floral installations and rental property.
If guests are released into the reception space early, pathways become obstructed, or the agreed flip window is shortened, Lavish will make every reasonable effort to complete the relocation but cannot guarantee that all pieces can be moved or restyled within the original timeframe.
For safety and insurance reasons, only Lavish Bloom Rentals personnel may move, dismantle, relocate, modify, or reinstall Lavish rental property.
Pickup & Event Strike
Lavish performs a full event strike, not simply a curbside pickup. Strike may include dismantling arches and mechanics, removing centerpieces and candles, wrapping glass, inventorying rentals, breaking down statement florals, transporting oversized pieces, packing, and loading.
Standard strike is included when the scheduled strike begins at or before 10:00 PM and reasonable working conditions are available.
Lavish will not be required to begin full strike until there is:
- adequate working lighting,
- reasonable guest clearance,
- access to tables and installations,
- a clear route to the loading area, and
- safe conditions for dismantling and removal.
We will not remove decor from occupied tables or carry oversized installations through active crowds simply to meet an arbitrary pickup time.
A fake exit, early photographs, thinning crowd, last dance, or coordinator request does not automatically mean the event has concluded or that Lavish must begin full strike.
Late-Night Strike Fees
Events requiring strike after 10:00 PM are subject to the following late-night service fees:

These fees reflect the additional staffing and late-night labor required to safely remove and pack a full wedding installation.
Event Delays & Extended Strike Labor
The scheduled strike fee assumes our team is able to work when the contracted strike time begins.
If Lavish is onsite and unable to begin or efficiently perform strike because guests remain seated at tables containing our rentals, the reception remains actively occupied, the dance floor or bar obstructs our work, venue lighting remains down, loading routes are blocked, or access is otherwise delayed, Extended Strike / Event-Delay Labor is charged at $75 per Lavish crew member per 30-minute increment.
Our required crew size is based on the size and complexity of the floral installation, venue layout, inventory, loading conditions, and event size — not guest count alone.
Venue Closing Times
Clients are responsible for ensuring the reception end time, Lavish strike time, and venue-required vendor exit time allow adequate time for Lavish to safely dismantle and remove our property.
Lavish is not responsible for venue overtime charges or missed vendor-exit deadlines when guests, the venue, coordinator, or another party prevents our team from beginning or continuing strike as scheduled.
Rental Care & Damage
Clients are responsible for Lavish rental property from delivery through pickup.
Rental items may not be moved, dismantled, altered, climbed upon, removed, or relocated by clients, guests, planners, venue staff, photographers, or other vendors without Lavish authorization.
Damage beyond normal wear may be charged at two times the rental value. Missing or non-returned items may be charged at four times the rental value.
Outdoor rental property may not remain exposed to severe weather or outdoors overnight. An alternate indoor location must be available when weather conditions require it.
Cancellations & Rescheduling
The 25% reservation retainer is non-refundable.
Custom purchases, specialty inventory, keepsake florals, special-order flowers, materials, and design work already completed are also non-refundable.
Cancellations occurring within 90 days of the wedding date are non-refundable.
At Lavish Bloom Rentals' discretion, payments may be transferred one time to another available event date occurring within 12 months of the original date. Rescheduled weddings are subject to current pricing, availability, travel costs, labor requirements, venue conditions, and changes in scope.
A requested new date is not guaranteed until availability has been confirmed and the updated agreement has been completed.
Planners, Coordinators & Venues
We love working alongside great wedding professionals, but Lavish remains responsible for the safety, handling, setup, relocation, and removal of our own floral installations and rental inventory.
Clients are responsible for ensuring their planner, coordinator, venue, and applicable vendors understand Lavish's access, room-flip, handling, and strike requirements.
A planner, coordinator, venue representative, family member, or other third party cannot override Lavish's safety requirements or materially change our contracted setup, room-flip, or strike schedule without Lavish approval.
Safety Comes First
Lavish Bloom Rentals reserves the right to pause, delay, modify, or decline any setup, relocation, room flip, or strike activity that we reasonably determine cannot be performed safely without risk of injury, property damage, or material disruption to guests.
